A reverse osmosis service visit should involve more than removing old cartridges and installing new ones. The technician may need to inspect the system, check for leaks, sanitize certain components, verify water flow and flush new filters before the water is ready to use.
The exact procedure depends on the system. Some units have separate prefilters, postfilters and membranes, while others use sealed cartridges or a tankless design. Before approving service, identify what will be replaced, what will only be inspected and how the technician will confirm that the system is operating correctly.
Before the visit, identify the system and the problem
Find the model number on the unit, filter housing or installation paperwork. Tell the provider whether you are scheduling routine service or responding to a problem such as slow flow, unusual taste, continuous drain flow, a noisy pump or water around the unit.
Also note whether the system serves a dedicated faucet, refrigerator, ice maker or another appliance. Connected lines can affect how the system is shut down, flushed and checked.
Ask these questions when booking:
- Which filters and membranes does the quoted service include?
- Does the price include replacement parts, labor, sanitizing and final testing?
- Will the technician inspect the storage tank, faucet, tubing, drain connection and automatic shutoff components?
- Is there an additional charge if a housing, valve, pump or fitting needs replacement?
- How much water must be flushed or discarded after service?

Step 1: Shut off and depressurize the system
The technician should close the appropriate feed-water valve and isolate the storage tank when the system design allows it. Opening the drinking-water faucet releases pressure before filter housings or cartridges are removed.
This step matters because a housing opened under pressure can release water suddenly. It also gives the technician an opportunity to confirm that the shutoff valves move properly and actually stop the flow.
Ask the technician to show you the system's feed-water shutoff and tank valve. You should know how to stop the water if a leak develops later.
Step 2: Inspect before replacing parts
A useful service visit includes an inspection of the surrounding cabinet and visible components. The technician should look for staining, mineral deposits, dampness, kinked tubing, loose fittings and corrosion around metal connections.
The drain connection should also be checked. A loose, blocked or poorly positioned drain line can cause noise, leakage or improper operation. If the system has an electrical pump, leak detector or automatic shutoff device, ask whether it was tested.
This is also the time to examine the faucet and any refrigerator supply line. Replacing filters will not correct restricted tubing, a failing faucet valve or a problem inside the refrigerator.
Step 3: Remove the old filters and examine the housings
For systems with reusable housings, the technician should remove the cartridges and inspect the bowls, caps, threads and sealing surfaces. Cracks, damaged threads or distorted housings may require replacement rather than another attempt to tighten the assembly.
Ask to see which cartridges were removed and where each one was installed. Prefilters, membranes and postfilters perform different jobs and should not be treated as interchangeable parts.
If the system uses sealed replacement modules, ask whether the seals, locking points and connection ports were inspected before the new modules were installed.
Step 4: Clean or sanitize the appropriate components
Opening a drinking-water system creates an opportunity to clean reusable housings and sanitize the parts specified by the system manufacturer. The technician should use a procedure and materials suitable for that particular unit.
Sanitizing may require removing certain filters or bypassing the membrane so the sanitizing solution does not damage treatment media. Ask what will be sanitized, what product will be used and how the solution will be rinsed from the system.
A quick cartridge swap does not necessarily include sanitizing. If you want it included, make sure it appears in the quoted scope before the appointment.
Step 5: Install the correct replacement parts
The technician should confirm that each replacement cartridge matches the system and is placed in the correct position. Reusable housings should receive clean, properly seated seals. A seal that is twisted, dirty or out of position can leak even when the housing feels tight.
Ask for the part numbers of the installed filters and membrane. Keep those numbers with the system records so you can compare future service proposals and avoid ordering an incompatible component.
The membrane does not automatically need replacement every time the prefilters are changed. Its replacement should follow the manufacturer's criteria, system performance and water conditions. Ask why the membrane is being replaced if the provider recommends it.
Step 6: Inspect and check the storage tank
If the system uses a pressurized storage tank, the technician should inspect the tank, valve and connection. Complaints about weak faucet flow or low available volume can involve the tank rather than the membrane alone.
Tank air pressure must be checked under the conditions specified for that system, which may require draining the water from the tank first. Adding air without following the proper procedure can lead to an inaccurate setting.
Ask whether the tank was tested and whether it still delivers water normally. If replacement is recommended, request the reason separately from the filter-service charge.
Step 7: Restore water slowly and check for leaks
After reassembly, the feed water should be restored in a controlled manner. The technician should watch the housings, tubing connections, valves and faucet while the unit repressurizes.
A dry paper towel passed around a fitting can reveal moisture that is difficult to see. Leak checks should be repeated after the system has been under pressure, not performed only at the instant the water is turned on.
If the system has an automatic shutoff valve, booster pump or permeate pump, ask the technician to confirm that it cycles as intended. Normal operating sounds vary, but constant draining or a pump that never stops deserves investigation.
Step 8: Flush the new components
New filters and membranes usually require flushing according to their instructions. Flushing clears manufacturing residue, trapped air and loose carbon particles. The required procedure can differ by system and replacement part.
Ask the technician for a clear answer about what to do after the visit:
- Can the faucet water be used immediately?
- Should one or more full tanks be discarded?
- Should the refrigerator or ice maker remain disconnected during flushing?
- What appearance, sound or taste is expected temporarily?
Do not rely on a generic flushing rule. Follow the instructions for the installed filters, membrane and system configuration.
Step 9: Verify performance
The final check should confirm more than the absence of leaks. The technician should verify that water reaches the faucet at a usable flow, the drain operates as intended and the storage tank begins filling if one is present.
If the provider performs a water-quality measurement, ask what was measured, where the samples were taken and how the result is interpreted for your system. A single meter reading does not identify every possible contaminant or prove that a system addresses a specific health concern.
For a system installed to address a particular contaminant, ask what follow-up testing is appropriate and whether that testing must be performed by an independent laboratory.
Before the technician leaves
Run the faucet, inspect the cabinet and ask the technician to point out every component that was serviced. Confirm that the feed valve, tank valve and drain connection are left in their normal operating positions.
Collect a written service record showing:
- The system model
- The part numbers installed
- Whether the membrane was replaced
- Whether reusable components were cleaned or sanitized
- Any pressure, flow or water-quality checks performed
- Problems found but not repaired
- The required flushing procedure
- The recommended trigger for the next service
Also ask what symptoms should prompt an earlier inspection. Examples include a sudden drop in flow, water around the unit, a change in drain behavior or a recurring unusual taste after flushing is complete.
